Who we are

SmartEmploy is a trading name of SIA Impresso, registered in Latvia (VAT no. LV40003770097). Registered address: "Kraujiņas", Turaida, Krimuldas pag., Siguldas nov., LV-2150, Latvia.

We are the data controller for the data described on this page, except where we say we act for an agency. For anything about your data, email roberts@smartemploy.io.

1. If you use the form on this website

When you ask for free leads, we collect your name, agency, work email, niche and region. Our systems also record your IP address, your browser's user agent and the time you sent the form.

Why: to send you the leads you asked for, reply to you, and follow up about our service. We use the IP address and user agent only to spot spam and abuse.

Lawful basis: taking steps at your request before a possible contract, and our legitimate interest in replying to business enquiries and keeping the form free of spam.

How long: 12 months from our last contact if you don't become a client. If you do, we keep what we need for the contract and for tax and accounting law.

2. If your company receives outreach from us

We find UK companies through public job listings, collected via official job board APIs. We only contact limited companies and LLPs, not sole traders or individuals, and we use business contact details: a person's name, job title and work email.

Why: to tell a company that a recruitment agency may be able to help fill a role it has been advertising, and to book a meeting if it wants one.

Lawful basis: legitimate interests in relevant business-to-business outreach. Under UK electronic marketing rules (PECR), we may email corporate subscribers without prior consent, as long as every email says who it is from and lets you opt out.

Opting out: every email includes an opt-out, or you can email roberts@smartemploy.io. We then stop contacting you and keep only your email address on a suppression list, so you are never contacted again.

How long: lead data we have not used is deleted after 6 months. Suppression-list entries are kept for as long as we run outreach.

3. When we work for a recruitment agency

To avoid double-calls, we check leads against the agency's CRM. For that check, and for any data the agency gives us, we act as the agency's processor: we follow its instructions, use the data only for its service, and delete or return it when the service ends.

On our Done-for-you service, we send outreach in the agency's name from dedicated sending domains, after the agency approves the copy. If you received one of these emails and want to know which agency it was for, email roberts@smartemploy.io.

Who we share data with

We never sell personal data. We use these service providers to run SmartEmploy:

• Vercel: hosts this website and processes form submissions.
• Resend: delivers form submissions to our inbox.
• Telegram: sends us a notification when a form is submitted.
• Email and calendar providers we use to send outreach and book meetings.

Some of these providers process data outside the UK and EU. Where they do, we rely on safeguards recognised by UK and EU law, such as standard contractual clauses or adequacy decisions.

Leads we find for an agency are shared with that agency only. We work with one agency per niche per region.

Cookies

This website does not set advertising or tracking cookies. If you book a call, Calendly sets its own cookies on its booking page.

Your rights

You can ask to see, correct or delete the data we hold about you, to restrict how we use it, to receive a copy, or to object to us using it, including for direct marketing, which we will always respect. Email roberts@smartemploy.io and we will reply within one month.

If you are unhappy with how we handle your data, you can complain to the UK Information Commissioner's Office (ico.org.uk) or the Latvian Data State Inspectorate (dvi.gov.lv). We would appreciate the chance to put it right first.

Changes

If we change this policy, we will update the date at the top of this page.
